More granular schedule change request windows
R
Robust Hedgehog
Currently, we allow agents/managers to submit schedule change requests up to two days before the event, or any time after the event. We want to restrict their ability to submit any last minute changes (i.e. <2 days before).
We want Assembled to allow you to set more granular windows to allow us to carve out the T-2 to today window. So for example, you can submit requests from 10 days in the past, up to 2 days in the past, OR any time after the event.
Since they are currently able to submit requests a day or couple of hours in advance, and when we cannot take action against those requests immediately or when we are unavailable, those are getting expired. We've had ~3k expired requests in the last 6 months.

Restricting Last-Minute Ad Hoc Change Requests in Assembled

- Problem Statement
The current Assembled system allows managers and engineers to submit ad hoc schedule change requests even within a day—or just a few hours—before the request is due to expire.
According to the established process, all schedule change requests must be submitted at least two days in advance. However, since the system does not restrict last-minute submissions, users often bypass the process and submit requests shortly before expiration.
When these requests are not actioned immediately—or when approvers are unavailable—they expire, leading to a large volume of expired requests.
- Proposed Solution
-Implement a feature in Assembled that prevents users from submitting schedule change requests within one day (or a defined threshold) of the request’s expiration time.
-This restriction will enforce the existing two-day advance submission policy and eliminate the possibility of ad hoc last-minute submissions.
- Expected Outcome
-Zero expired requests caused by last-minute submissions.
-Stronger process compliance, ensuring that all requests adhere to the two-day advance rule.
-Reduced workload pressure on approvers, who currently need to address last-minute requests urgently to prevent expiration.
-Improved reporting accuracy, as expired requests will no longer artificially inflate metrics.
- Impact / Data Reference
- Current expired requests recorded: 2,935 (from 1st February to 20th August 2025).
- With this enhancement, the expired count is expected to reduce to zero.
- This change will streamline workflows, reduce unnecessary escalations, and improve adherence to process guidelines.

When designing this feature, It should show a pop-up to the users who are submitting the requests.
It should show the below pop up when they click on any event counting the date and time(48 hours)
"Schedule changes must be submitted at least 2 days in advance.
This request cannot be submitted."
